Confirmation of Chairman and Vice Chairman for the meeting

At the last meeting it was agreed that Fred would chair this meeting. Olivia would be Vice-Chairman.

Noted that Fred was the Chairman for the meeting and Olivia was the Vice-Chairman.

Matters Arising

To consider any matters arising from the previous meeting.

Minutes:

(a)          Voluntary Action Epping Forest (Minute 75)

 

Fred enquired whether any of the Youth Councillors had gone out to local businesses for donated prizes intended for the Intergenerational day  on 19 February 2015.

 

Matthew advised that Youth Councillors could ask local shops for donations and also a group of Youth Councillors could visit Buckhurst Hill for donations on the  Tuesday before the event.

 

(b)          Submission Forms (Minute 79)

 

Sports Development had been postponed until the next meeting on Tuesday 10 February 2015.

 

(c)          Social Media (Minutes 81.7)

 

Leonora, Julie, Olivia and Fatemeh were asked to hand completed articles onto Di to forward to the relevant Town/Parish Councils for their news letters.

86.

Sports Development

The Sports Development Team to give a short presentation to the Youth Council about the facilities in the District.

Minutes:

Sports Development were postponed until the next meeting on 10 February 2015.

87.

Event Feedback

Youth Councillors to feedback on events attended since the last meeting.

Minutes:

(a)          Bullying Fact Sheet

 

Leonora advised that the Bullying Awareness fact sheet had now been uploaded onto the Youth Council Website.

 

(b) Youth Strategy Group

 

Olivia advised that the meeting was 19 January 2015 and that they had run through the presentation for the next meeting.

 

(c) St Johns Christmas Tree Festival

 

Julie advised that the Youth Council Tree had been viewed by many visits over the weekend.

 

(d) Top Golf - Christmas Social

 

Jaymey advised that everyone who attended the social had a good time and it was a team building exercise.

 

88.

School Updates

Youth Councillors to report on events attended since the last meeting.

Minutes:

The Youth Councillors reported back on any school updates;

 

·         Braeside – No further update;

·         West Hatch – No further update;

·         Roding Valley – No further update;

·         Debden Park – Lucy advised that they had positive feedback for the school display board;

·         King Harold – Display board was now in place;

·         Chigwell – Display board was being used; and

·         Davenant – No further update.

Submission forms

To consider any new submission forms received and to give updates on any previous submission form.

Minutes:

Di advised that the Voluntary Action Epping Forest (VAEF) had been in touch regarding a nation scheme called ‘Time banking’ which would involve members of the community registering and collecting volunteering hours. Youth Council hours could be included.

 

ACTION: Di to invite VAEF to the 3 March 2015 meeting to explain the scheme.

90.

Youth Council Cup

Di to present the Jack Petchey Award.

Minutes:

The Youth Council Cup was awarded to Matthew for his attendance, commitment and independent working on Youth Council Projects. Matthew would receive the Youth Council Cup and attend the Chairman’s Civic Dinner on 27 February 2015.

91.

Business for next meeting

(i)                  To agree a Chairman for the next meeting; and

(ii)                Members to raise items of business for consideration at the next meeting.

Minutes:

a)    The Chairman for the next meeting would be Olivia and the Vice-Chairman would be Matthew.

 

b)    Youth Councillors wanted to discuss the following at their next meeting;

 

·         Debate on the General Election.

 

ACTION: ALL YOUTH COUNCILLORS to consider ways of involving/informing young people about the general election.

 

c)    Items for the next agenda;

 

·         School updates;

·         Overview and Scrutiny feedback;

·         Youth Strategy Feedback;

·         Youth Council Cup; and

·         Jack Petchey Award.

Any Other Business

(a)          Notices by Diane;

Minutes:

1.         High Sheriff Award

 

Di advised that the High Sheriff Award was being considered in February and the Youth Council would find out in March 2015.

 

2.         Police Crime Commissioner Youth Forum

 

Di advised that the next  Police Crime Commissioner Youth Forum was to be held in Thurrock on 29 January 2015 and would change venues around the County.

 

AGREED that Evie, Joe, Leonora, Julie and Fatemeh would attend.

 

3.         Visit to Houses of Parliament

 

A visit to the Houses of Parliament had been arranged for the Monday 16 February 2015 with Robert Halfon MP. Di asked Youth Councillors to think of questions to ask him.

 

ACTION: ALL YOUTH COUNCILLORS to think of questions to ask Robert Halfon MP.

 

4.         Further Funding

 

Di advised that Lexi had obtained further funding for the ‘Young Person’s Guide to Volunteering’ Travel Wallets and asked that Youth Councillors take part in school assemblies to promote the Travel Wallets.

 

Matthew thought that this could be incorporated with VAEF visit in March 2015 for the Time banking.

 

AGREED that this would be discussed with the VAEF and volunteering idea.

 

5.         Diary Updates

 

Louis advised that the Overview and Scrutiny presentation was on Monday 12 January 2015, the Youth Strategy Group meeting was 19 January 2015 at 5pm and Diversity Training on 20 January 2015.
