Part C - General Information

Improved Member Contact Process

As many of you will know we have been reviewing the Members Contact process over the last few weeks. By involving many different Council Officers as well as Cllrs in working groups we hope we are on the way to improving the process & in turn, the level of service we able to offer our customers.

 

To summarise, the first stage of the new Members Contact Process is designed to help Members get their enquiries to the right person ASAP as well as getting a response back within a reasonable timeframe. We’ve also streamlined the process in an attempt to make things smoother & less time consuming for officers.

 

New process:

 

·         Members will submit their initial contact to the Council using this link - https://eppingforestdc-self.achieveservice.com/service/Member_Contact - This link can be used on ANY device which has an internet connection, not just Council issued iPads. (You do NOT need to make an account to proceed, you can click the button below sign up saying “Continue without an account”).

·         This will then be allocated to the relevant council officer to work & investigate. The officer will respond within XX days.

·         The officer & Cllr will liaise with each other via email / telephone in a natural & organic way (no updates to file required whilst ongoing). The officer & Cllr will agree between themselves who is taking ownership of the contact & who will be updating the customer accordingly.

·         Once the enquiry is resolved, the Officer will provide a brief summary of the resolution on the file & close it down.

 

This should hopefully reduce the admin time required to update files from an Officer point of view whilst also ensuring Cllr contacts are handled in a timely manner. If anyone has any questions regarding this please do not hesitate to reach out to us at MemberContact@eppingforestdc.gov.uk.

All members of the Council receive automatic email notification of the publication of each individual Portfolio Holder decision and the call-in period for each decision commences immediately. Members wishing to call-in a decision should complete the attached call-in form and return it to Democratic Services before the expiry of five working days following the publication date of the decision. Members should refer to the Constitution (Article 6 - Overview and Scrutiny) for the rules of call-in.
